Scheme employers must let us know the details of the staff administrating the LGPS on behalf of their organisation. This includes payroll administrators, if responsibilities have been delegated to a third-party provider.

For data protection compliance we can only respond to employer related pension queries sent by appointed authorised contacts.

How to appoint authorised contacts

You can appoint and update your authorised contacts using the LGPS 53 form.

Roles and permissions

Lead officer

The ‘Lead officer’ is the main contact between your organisation and the Fund. 

They are:

  • Responsible for the provision of timely and accurate information.
  • Automatically granted permission to access pensions systems.
  • Granted permission to access their administered payrolls within i-Connect.

i-Connect user roles

  • Human Resources role - users with this role can request strain cost reports.
  • Document Uploader role - users with this role can upload documents for an employee directly to the member's pension record. This user will also be able to perform a member search.
  • Reporter role - users with this role can generate and view reports.
  • Upload role - users with this role can do payroll submissions such as file uploads or online returns. Not to be confused with the document uploader role.
  • Leaver Final Pay Submitter Role - users with this role can view members who require a leaver Final Pay submission. They are also able to submit final pay data to a member’s pension record.
  • McCloud Final Pay Submitter - users with this role can view members who are eligible for the McCloud remedy. They are also able to submit final pay data to a member’s pension record.

Authorisation of Lead officer and Authorised contact appointments

The LGPS53 form must be signed by a senior officer at your organisation, for example:

  • Head of establishment. 
  • Chief Executive Officer.
  • Director of Human Resources. 
  • Director of Finance.

Under LGPS Regulations, Foundation and Trust Schools are not scheme employers. Their HR and finance staff can only complete pension documentation if authorised to do so by the local education authority.

What happens next 

On receipt of a LGPS 53 form:

  • Permissions to access pensions systems will be updated for the authorised contacts named.
  • Permissions to access pensions systems will be removed for any previous contacts held but not named on the form.
  • Username and Password will be issued to any new contacts to access i-Connect and GlobalScape.

Incomplete forms will be returned for correction and resubmission.
